Spreadsheets are brilliant. They’re just not a system.

A spreadsheet may be the best everyday analysis tool ever invented. For budgeting, forecasting, modeling a decision, working a number until it makes sense, nothing beats it. That’s not the problem, and we’d never tell you to stop using one for what it’s genuinely good at.

The trouble starts when a spreadsheet becomes the system the business runs on. Remember columnar ledger paper, the big green-and-buff sheets where you tracked every job, order, and balance by hand? A spreadsheet built to run operations is that ledger paper in software form: a long list of records, kept by hand, trusted because there’s nothing else. It works right up until the business grows or the person who maintained it moves on. Then it turns fragile and opaque: easy to overwrite, easy to duplicate, with no real permissions, no audit trail, and the actual process living in one person’s head.

At that point the spreadsheet isn’t saving you time. It’s holding the business back, and the longer it stays the operational system, the more it costs to leave.

Most spreadsheet-bound operations fall into a few familiar shapes. Find yours:

Inventory & fulfillment

Stock, orders, and fulfillment tracked accurately, instead of in a workbook that’s always slightly out of date.

Job & project tracking

Jobs, tasks, stages, and status across the whole team, in one place everyone can see.

Scheduling & dispatch

Who’s where, doing what, and when, without three versions of the same calendar.

Sales pipeline & custom CRM

Contacts, pipeline, and follow-up built around how you actually sell, without enterprise CRM overhead.

Workflow & approvals

Intake, routing, and sign-offs that used to live in email and a shared sheet nobody trusts.

Reporting dashboards

The numbers you need to run the business, live, on data you can trust, on any device.

Not sure which shape yours is? That’s part of what the assessment figures out.

You’ll know what it costs before we start.

Most businesses don’t find out what a move like this really costs until the work is already underway. We work the other way around: a short, fixed-fee assessment first, then a fixed price and a clear go-live date for the build, agreed before anyone starts. Two plain steps.

Step 1

The spreadsheet-to-app assessment (fixed fee)

We look at the spreadsheets you’re running on and find the real workflow hidden inside them, then come back with a written plan. You receive: the recommended platform, the core structure and tables, the major workflows and approvals, data-cleanup notes, a data-migration and launch sequence, and a fixed price for the build. The plan is yours to keep, whether or not you go further with us.

Step 2

A fixed-price build

The application is quoted as a defined scope, a fixed price, and a committed delivery window, agreed before anyone starts. We design it, migrate your data, train your team, and document it so it’s genuinely yours. You know the number and the date going in.

What “fixed price” means

Not unlimited changes. It means the build is defined clearly enough that we can commit to a price and a date. Change the scope mid-build and we re-quote the change openly, instead of letting it inflate the bill.

We’re priced for small and midsize businesses, not enterprise transformation budgets.

Want a fixed number and a date?

What a real application does that a spreadsheet can’t

The point of moving isn’t a tidier spreadsheet. It’s the things a spreadsheet structurally can’t give you once the business depends on it.

Anyone can overwrite or delete the wrong cell

A real data model with validation, so records are entered once, correctly, and can’t be broken without anyone noticing.

No permissions, so everyone sees and changes everything

Role-based access, so the right people see and change only what they should, and sensitive data stays protected.

No audit trail: you can’t tell who changed what, or when

A full history of changes, so you can trust the record and answer the question later.

The process lives in one person’s head

Workflows, rules, and handoffs built into the system, so the business doesn’t stop when someone is out or moves on.

Versions multiply and nobody’s sure which is right

One source of truth, live for everyone, so the team stops arguing about whose copy is current.

Reports are rebuilt by hand and nobody fully trusts them

Reporting tied to clean source data, so the numbers are the numbers, in real time, on any device.

Quickbase, Caspio, or ERP-light? The assessment settles it.

Most businesses think the only step up from spreadsheets is full enterprise software: a long, expensive project they can’t justify yet. There’s a middle path, and it’s usually the right one: a real application on a low-code platform, sometimes called “ERP-light.” It’s a fraction of the cost and timeline of enterprise software, and you can be running on it in weeks, not quarters.

Quickbase is usually the strong fit for internal operational apps: inventory, job and project tracking, scheduling, CRM, fulfillment, approvals.

Some businesses do need full ERP: financials, purchasing, inventory, and accounting in one system. If that’s where you are, we’ll say so and point you toward the ERP path. But most spreadsheet-bound businesses don’t need to start there. They need the next right system: a real operational app that can be built quickly, owned clearly, and improved over time. And you don’t need to arrive knowing whether that means Quickbase, Caspio, ERP, or something else. Answering that question is what the assessment is for.

Build the system first. Then let AI help.

There’s a lot of pressure right now to skip straight from spreadsheets to an AI-generated app: point a tool at your workbooks and let it build something. Sometimes the demo is impressive, and the tools are real. We use AI in our own engineering, operated by senior developers, which is exactly why we’ll tell you where the work actually is. An assistant can generate tables and fields quickly, but someone still has to know the workflow well enough to specify it, make the data-model decisions, set the permissions, finish the reports and roles, and stand behind the result when the business depends on it. We do that work for you: an expert designs the foundation, AI accelerates the build, and the accountability stays with us. We hold this view firmly enough that we also run an AI governance practice for institutions that must answer for how their systems behave.

Why not just hire someone cheap to convert the spreadsheet?

Because the spreadsheet isn’t the real problem. The real problem is the workflow hidden inside it. A low-cost developer can copy your columns into an app. The harder work, the work that actually matters, is finding the process buried in the workbook, designing a data model that holds up, setting real permissions, migrating the data cleanly, building reports you can trust, training your team, and documenting the system so you’re not stranded when someone leaves. That’s the work we do.

Watkyn LLC is a software development and consulting firm, operating since 2015, a Quickbase partner, and a Caspio Gold Partner. The firm moves small and midsize organizations off spreadsheets and other improvised tools onto engineered operational applications. Spreadsheet and legacy-tool conversions include an enterprise risk management system for Johnson & Johnson’s DePuy Synthes, converted from a massive multi-worksheet workbook; a spreadsheets-to-Quickbase operations system for Guard Services USA; an Access-database replacement for Fluor; and a Quickbase platform with a custom task interface for Rev that replaced Google Sheets and Mechanical Turk. New engagements begin with a fixed-fee spreadsheet-to-app assessment that produces a written plan, a fixed build price, and a committed delivery window.

Our company schedules several thousand security shifts every month. Through now, we’ve managed all of our scheduling and billing through a series of Excel spreadsheets and manual data entry into Quickbooks. It is an inefficient system, and one that is not scalable. We’ve outgrown this current system.

Common questions about moving off spreadsheets

How do I move my business off spreadsheets?

Start with a fixed-fee assessment. We review the spreadsheets you’re running on, find the real workflow behind them, recommend the right platform, and give you a written plan and a fixed price. From there we design the data model, migrate your data, build the application, and train your team, so the move is planned instead of improvised.

How much does it cost to replace spreadsheets with an app?

Less than most people expect, and you’ll know the exact number before you commit. The fixed-fee assessment produces a written plan with a fixed build price and a committed delivery window, agreed before we start. We’re priced for small and midsize businesses, not enterprise transformation budgets, and you can usually be running in weeks.

What do I replace spreadsheets with?

For most small and midsize businesses, a real application on a low-code platform like Quickbase or Caspio, sometimes called “ERP-light.” It gives you a proper data model, permissions, business rules, workflows, and trustworthy reporting, at a fraction of the cost and timeline of full enterprise software.

Should we keep using spreadsheets?

Sometimes, yes. If the spreadsheet is for analysis, budgeting, forecasting, or a genuine one-off, keep it. That’s what spreadsheets are best at, and we’re not trying to eliminate them everywhere. The problem starts when the spreadsheet becomes the system of record for operations: scheduling, fulfillment, approvals, billing support, management reporting, the place where the business actually lives. That’s when it’s time to move.

Is this the same as moving from a spreadsheet to a database?

Usually, yes, and the database is only part of it. A real business application adds structured tables, permissions, workflows, forms, trustworthy reporting, an audit history, and a clean data migration. The work that matters is designing the operational system your spreadsheet was trying to become, then moving your data into it safely. That design work is what the assessment does.

Should I just use AI to turn my spreadsheets into an app?

You can, and for a simple app with a capable self-builder it may be enough. Today’s AI app tools are assistants for people building their own system: you answer the requirements questions, make the data-model decisions, build your own reports, dashboards, and roles, and own the result when the business depends on it. We use AI ourselves, operated by senior developers, and that’s the difference we sell: an expert runs that whole process for you and hands you a completed, documented application with a team accountable for it. If self-building genuinely fits your team, the assessment will tell you so.

Quickbase or Caspio: which is right for us?

Quickbase is usually strong for internal operational apps; Caspio is often better when the app is customer- or public-facing or needs many external users. We build on both, and choosing between them is part of the assessment, so the recommendation isn’t shaped by a single product. And we’ll tell you even when the answer isn’t us at all: for AgroSource we mapped the data model and requirements, then advised that a full ERP, which we didn’t sell, was the right fit. They left us a five-star review anyway.

What if we’ve outgrown even “ERP-light”?

Then we’ll tell you. Some businesses genuinely need full financials, purchasing, inventory, and accounting as one system. That’s ERP territory, and we’ll point you toward the ERP path. The path stays connected, so you start where you are and grow into what you need.

Do we keep ownership and control of our app and data?

Always. The application and the data are yours, and we document everything so you, or any future partner, can run the system without depending on us. Watkyn is a Quickbase partner and Caspio Gold Partner and has built operational software since 2015, including spreadsheet conversions for clients such as Johnson & Johnson’s DePuy Synthes and Guard Services USA, with public five-star client reviews on Watkyn’s Quickbase partner profile (opens in a new tab).
