What we build
Caspio work tends to take a few familiar shapes. Find yours:
Customer and client portals
Secure logins where your customers check status, submit requests, and see their own records, and only their own records.
Field operations and compliance apps
Mobile-friendly forms, inspections, permits, and logs for crews in the field, with signatures, PDF output, and role-based dashboards back at the office.
Public-facing database apps
Searchable directories, registries, lookups, and published datasets that live on your website and stay current.
Online intake and application systems
Forms that feed a real database with review stages, document uploads, and notifications, instead of a shared inbox.
Member and registration systems
Membership records, renewals, event registration, and self-service profile updates for associations and member organizations.
Embedded web apps
Caspio DataPages deployed inside the website you already have, so the app meets people where they are.
Spreadsheet replacement
A real application built around the workflow your shared spreadsheets were straining to hold, especially when outside parties need in.

Is Caspio the right platform for you?
We’ll tell you when Caspio fits, and when it does not.
Caspio is usually a strong fit when:
The app is public- or customer-facing
Many people need access, and Caspio’s unlimited app-user licensing means adding them doesn’t add seat cost
The app should be embedded in your existing website
You need record-level security so each user sees only their own data
Field teams need mobile-friendly forms with signatures and PDF output
You want deployment measured in weeks when scope is well defined
A note on licensing: Caspio’s major advantage is unlimited app users, which is what makes it so attractive for customer, member, public, and field-facing applications. Builder and admin accounts, capacity, DataPages, storage, and compliance features still depend on the Caspio plan you select. We help you get those assumptions right before anything is built.
Something else may fit better when:
- The app is for internal operations, where Quickbase is often a better fit for complex staff workflows, approvals, reporting, and job tracking, and we’re a partner there.
- You need full financials, purchasing, inventory, and accounting as one system, which is ERP territory, and we can point you the right way.
- The need is a one-off task a spreadsheet still handles fine.
We build on Caspio, Quickbase, and modern custom stacks, so our recommendation isn’t shaped by the one thing we happen to sell. If none of these is a good fit, we’ll tell you so.
You’ll know what it costs before we start.
Step 1
The Caspio App Assessment (fixed fee)
We get clear on the workflow, users, data, and what the app needs to do, then come back with a short written plan: recommended structure, the DataPages and tables involved, integration assumptions, a launch sequence, and a fixed build price. We also identify the likely Caspio plan requirements, so licensing assumptions are clear before anything is built. The plan is yours to keep either way.
Step 2
A fixed-price build
The application is quoted as a defined scope, a fixed price, and a committed delivery window, agreed before anyone starts. You know the number and the date going in.
What fixed price means
The build is defined clearly enough to commit to a price and a date, with integrations scoped in the assessment and included in the quoted plan. If scope changes mid-build, we re-quote the change openly instead of letting it inflate the bill.

Already have a Caspio app? We can take it over.
Plenty of Caspio applications were built by a freelancer who moved on, an employee who left, or a vendor who stopped answering. The app still runs, but too few people understand it well enough to change it confidently, so it slowly freezes: changes feel risky, reports drift, and the business works around its own system.
We assess what you have, stabilize and document it, fix what’s fragile, and become the durable maintainer, so the app keeps evolving instead of freezing. That’s how our work with Align ASC began: we took over a Caspio platform started by another developer and have been modernizing and extending it ever since. The same continuity problem on Quickbase has its own dedicated service: Quickbase App Rescue.

Real Caspio systems, named clients
Align ASC
Ambulatory surgery center advisory and management, Phoenix, AZ
Problem:
A management company supporting surgery centers and clinics across multiple locations inherited a Caspio operations platform started by another developer, carrying compliance obligations too important to leave fragile.
What we did:
Took the platform over, then modernized and extended it into the system their operation runs on.
Includes:
Policies and procedures with expiration tracking
Equipment, vendor, and employee records
Meetings and daily reports
Performance optimization of API calls and DataPages
API credentials secured behind an AWS backend
A modernized design
Unified search
Multi-clinic administration
New reporting
AWS document indexing
Why it matters:
Designed so a lean management team can run consistent, auditable operations across many facilities from one system, and proof that an inherited Caspio app doesn’t have to be rebuilt from scratch to become dependable.
Status:
Current engagement since 2025, active development and support.
The HomeStride
Real estate services
Problem:
A company whose website needed to do real work: register four different kinds of users and route each to the right experience, without bolting on a separate system.
What we built:
A multi-role registration and login portal embedded directly in their existing website.
Includes:
Admin, agent, lender, and client roles · role-based redirects after login
Registration and account flows living inside the company’s own site.
Why it matters:
Designed so one embedded Caspio portal serves four audiences, with the website itself becoming the front door to the system.
Status:
Delivered 2022
Also on Caspio:
A patient workflow application for Associated Physicians of Indiana (nurse forms, patient reviews, and documents)
Operations software for Williams Safety & Rescue (ongoing).
Our template apps in the Caspio Marketplace
We don’t just build on Caspio for clients. Caspio publishes Watkyn-built template apps in its own Marketplace:
Agency Project Management
A Caspio app for agencies to track client projects, billable and payable hours, contracts and purchase orders, and team earnings, with role-based dashboards for admins, team members, and clients.

Starter CRM
A Caspio app for growing sales teams: leads, statuses, templated activity notes, follow-up reminders, closed deals, and commissions, with role-based access for reps and admins and a metrics dashboard with a sales funnel view.

Your Caspio app should not depend on one person.
Watkyn LLC is a software development and consulting firm, operating since 2015, that designs, builds, and takes over Caspio applications: customer and client portals, field operations and compliance apps, public-facing database applications, and embedded web apps. The firm is a Caspio Gold Partner (a Caspio partner since 2022) and a Quickbase partner, and was the first Caspio partner to have a template app listed in the Caspio Marketplace, where its Agency Project Management and Starter CRM apps are published. Named Caspio clients include Align ASC, The HomeStride, Associated Physicians of Indiana, and Williams Safety & Rescue. Every engagement starts with a fixed-fee Caspio App Assessment that produces a written plan and a fixed build price.
Caspio makes it possible to build quickly, but durable business applications still require deliberate architecture: a clean data model, record-level permissions that actually protect each user’s data, reporting tied to clean source data, and documentation so the system never lives inside one person’s head. That architecture is the difference between an app you can run a business on and one you have to second-guess, and it matters even more when the users are your customers and the app is your public face.
A solo freelancer reintroduces exactly the risk most Caspio buyers are trying to escape. We’re built the opposite way: a real firm, operating since 2015, with a full team, a documented six-phase methodology, senior developers who stay close to the work, and ticket-based support after launch.
AI helps most when it sits on top of a sound system. Generated apps can be useful starting points, and they become risky when no one understands the data model, permissions, and rules underneath. We build that foundation first, then use AI where it adds value and where someone remains accountable. We hold this view because we also run an AI governance practice for institutions that must answer for how their systems behave.

Common questions about working with us on Caspio
Every engagement starts with a fixed-fee Caspio App Assessment that produces a written plan and a fixed build price. The build itself is quoted as a defined scope, a fixed price, and a committed delivery window, agreed before we start, with integrations scoped in the assessment and included in the plan. If scope changes mid-build, we re-quote the change openly.
Caspio is usually the stronger fit for public- or customer-facing apps, portals, field apps, and apps embedded in your website. Quickbase is often a better fit for internal operational systems with complex staff workflows, approvals, reporting, and job tracking. We’re a partner on both, so the recommendation isn’t shaped by a single product. We’ll give you objective advice, even when the right answer is Quickbase, ERP, a simpler tool, or no new system at all.
Caspio’s major licensing advantage is unlimited app users: the people who actually use your application, whether customers, members, field crews, or the public, don’t carry per-seat cost. Builder and admin accounts, capacity, DataPages, storage, and compliance features do depend on the Caspio plan you select, and we make sure those assumptions are clear before anything is built.
We identify that during the assessment. Caspio’s unlimited app-user model is attractive for many portals and field apps, but the right plan still depends on capacity, DataPages, integrations, builder and admin accounts, compliance requirements, and support needs. We separate platform-cost assumptions from Watkyn’s build price, so you know exactly what you’re buying.
Yes, and we do. Our work with Align ASC began by taking over a Caspio platform started by another developer; we’ve been modernizing and extending it ever since, including performance optimization, security hardening onto an AWS backend, unified search, and multi-clinic administration. We assess what you have, fix what’s fragile, and become the durable maintainer.
Named Caspio work includes the Align ASC surgery-center operations platform (takeover and modernization, ongoing), a multi-role registration portal for The HomeStride with admin, agent, lender, and client roles embedded in their website, a patient workflow application for Associated Physicians of Indiana, and operations software for Williams Safety & Rescue (ongoing). Caspio also publishes two Watkyn-built template apps in the Caspio Marketplace: Agency Project Management (opens in a new tab) and Starter CRM (opens in a new tab).
For an isolated, well-defined task, a freelancer may be fine. But most Caspio problems are architecture, security, and continuity problems, and that’s where cheap work up front gets expensive later, especially on an app your customers can see. We give you a team, a documented methodology, and ongoing support, so the app holds up and grows with you.
Yes. Watkyn has been a Caspio partner since 2022, currently at the Gold level, building operational software since 2015, with current Caspio work in healthcare operations and industrial safety. We were the first Caspio partner to have a template app listed in the Caspio Marketplace. You keep ownership and control of your app and your data, documented so you, or any future partner, can run the system without depending on us.
Tell us what you’re building, or what’s stuck.
Send us a few details about the portal or app you have in mind, the Caspio app you’ve inherited, or the spreadsheets you’ve outgrown, and we’ll come back quickly with next steps and a clear path to a fixed-price build.
