Watkyn LLC is a software development and consulting firm, operating since 2015, that builds, integrates, and rescues operational systems for small and midsize businesses. The firm is a Quickbase partner and a Caspio Gold Partner (a Caspio partner since 2022), with delivered applications on both platforms, and also builds custom software on AWS and systems integrations. Group Travel Odyssey (Kaleidoscope Adventures): seven years and counting

When Kaleidoscope Adventures set out to grow, the obstacle was process: every staff member had their own, critical information lived in Excel on different computers, and data was re-entered as many as five times.

Since 2018 we have built and continuously developed the systems that replaced that: a sales CRM, a vendor-management app, a Trip Manager that keeps every detail of itineraries for groups as large as 600 people, an HR app, and a customer-facing trip portal where travelers register and pay (Stripe), connected to the Quickbase back office by custom REST services.

Custom software where the customer touches it, a platform back office where the staff works.

The company’s COO attributes 12% gross revenue growth in the first 12 months, without adding staff, to being able to manage trips for larger groups on the new systems. It’s the longest-running engagement on this page because it keeps earning its place.

Promotion Plus Sign Co.: the whole job, in one system

A sign company’s work is a long chain: estimate, site survey, permitting, fabrication, installation, paperwork.

For Promotion Plus Sign Co., we built and have continuously developed the Quickbase system that runs that chain, including estimates and sales workflows, site and survey records, permitting, installation tracking, document management on AWS S3, DocuSign for signatures, and the reports and print dashboards the office runs on.

The system keeps growing with the business, and it doesn’t depend on any one person to keep working.

GREEN ZONE

Green Zone Recycling: when the system has to talk to the trucks

Recycling operations live and die by routes.

For Green Zone Recycling we built the Quickbase application that manages routes, unloads, and drivers, and then the part most firms can’t do: a custom integration layer that pulls Samsara fleet-telematics events and routing data into Quickbase automatically through webhooks and a purpose-built ETL process.

Operational data flows in from the field; the office works from one trustworthy picture.

Nexira

The U.S. natural-ingredients distributor’s order, multi-warehouse inventory, and invoicing operations, built on Quickbase to replace a legacy Great Plains system, in continuous development since 2021.

Guard Services USA

Spreadsheets out, system in: client requests, vendor records, and a dispatch dashboard monitoring hundreds of simultaneous security shifts nationwide, plus license and insurance compliance tracking. We also took over and stabilized their inherited custom shift-generation codebase.

Rev

Flexible market-research operations on Quickbase infrastructure with a custom, fast task UI, so a distributed overseas workforce could move through projects quickly without needing Quickbase access; replaced Mechanical Turk and Google Sheets, with built-in quality control.

TravelAdvocates

Invoice automation for group hotel bookings: hotels are prompted the morning a group departs and submit commission data directly, with QuickBooks integration and generated documents.

Rocky Mountain Transportation Services

Railcar inventory and lease tracking, fed automatically by a custom integration to RailInc car-tracing data.

Align ASC

Takeover and modernization of an existing Caspio platform for surgery centers and clinics: faster performance, API credentials secured behind an AWS backend, a refreshed design, unified search, and multi-clinic administration. Ongoing.

Once the build is live, we don’t disappear: we document the system, train your people, and stay available for ongoing support and enhancements. Real systems keep evolving with the business, and our longest client relationships have run for years on exactly that.

AI helps most in expert hands

We use AI in our own engineering, openly: our senior developers work with it to plan builds, pressure-test data models, and move faster. The judgment and the accountability stay human. Does Watkyn build software for small businesses?

What’s the difference between Quickbase and QuickBooks?

QuickBooks is Intuit’s accounting software. Quickbase is a low-code application platform for building operational systems like job tracking, CRM, and inventory. They’re unrelated products, and they work well together: we build Quickbase applications with two-way QuickBooks synchronization, as we did for Nebula Technologies and TravelAdvocates, so operations and accounting stay in sync.

Do you build on Caspio?

Yes. Watkyn has been a Caspio partner since 2022, currently at the Gold level, and was the first Caspio partner to have a template app listed in the Caspio Marketplace, where its Agency Project Management (opens in a new tab) and Starter CRM (opens in a new tab) apps are published. Delivered client work includes a patient workflow system for Associated Physicians of Indiana, a multi-role registration portal for The HomeStride (agents, lenders, and clients), and operations software for Williams Safety & Rescue. We also take over and modernize existing Caspio platforms: for Align ASC’s surgery-center operations system we improved performance, moved API credentials behind a secure AWS backend, refreshed the design, and added unified search and multi-clinic administration. Quickbase, Caspio, or custom software: which do we need?

It depends on the workload. Quickbase excels at internal operational apps; Caspio is often the better fit for customer-facing, public-database applications; custom software is for problems no platform serves well, and the approaches combine. For Group Travel Odyssey we built a custom trip portal on a Quickbase back office; for Rev we built a custom fast-task UI so an overseas workforce could run market-research projects on Quickbase infrastructure without Quickbase access. We build all three, the assessment tells you which fits, and we’ll tell you, including when the answer is the cheaper one, or isn’t us at all: for AgroSource we mapped the data model and requirements, then advised that a full ERP, which we didn’t sell, was the right fit. They left us a five-star review anyway.

Why hire Watkyn instead of a freelancer, an in-house builder, or a platform’s own services team?

Each can be the right answer. A freelancer can be a good fit for narrow, well-defined tasks. An in-house builder can be excellent when they have the time, the authority, and the technical depth, and we often work alongside them rather than replacing them, as we do for Auction VCommerce and Sandvik. A platform’s own services can help when the need sits squarely inside one product. We’re the better fit when the system is business-critical, touches multiple workflows or platforms, needs documentation and long-term support, or has outgrown the person who first built it.

How does pricing work?

Every engagement starts with a fixed-fee assessment that produces a written plan with a fixed price for the build, so you know what it costs before we start. After launch, we stay available for ongoing support and enhancements as the system grows with your business.

How long does a project take?

The assessment itself is short. Build timelines depend on scope, integrations, data cleanup, and how quickly decisions get made on your side, so we don’t quote a universal number sight unseen. Smaller workflow applications often launch in phases; larger operational systems usually roll out in stages. What you’ll have before any build work starts is a realistic launch sequence for your project, with the price attached.

Can you build a customer-facing portal?

Yes. We’ve built portals where customers register, pay, and track status (Group Travel Odyssey), multi-role registration portals (The HomeStride, on Caspio), partner and referral portals (Utility Boss), and staff scheduling portals with secure access flows (Milestone Technologies). Portals can be custom-built or delivered on Caspio, with your operational system behind them.

Our developer left and nothing moves anymore. Can you take over?

Yes, on Quickbase, Caspio, and beyond. We assess, document, stabilize, and become the durable team behind inherited systems, whether that’s a stalled platform app (as with the Caspio application we took over for Align ASC) or a custom codebase (as when we restored an inherited shift-generation system for Guard Services USA). We also work alongside in-house builders who need senior backup: Auction VCommerce’s owner builds her own auto-auction software on Quickbase, and we handle what goes beyond it, as we’ve also done for Sandvik. Can you fix a slow or unreliable app?

Yes, on either platform. Performance rescue is real engineering: for Acosta we diagnosed Quickbase performance degradation to its root causes in role permissions and formula queries, then re-engineered the application to remove them; for Align ASC we optimized a Caspio platform’s API calls and data pages and hardened its security. If your app has grown slow, fragile, or confusing, an assessment will tell you why and what it costs to fix.

Can you move our business off spreadsheets, or off an old Access database?

Yes, and it’s some of our most common work, at every scale. Johnson & Johnson’s DePuy Synthes ran international manufacturing and regulatory risk tracking in a massive workbook with logic spread across worksheets that had become unmanageable; it now runs on a structured Quickbase system. Guard Services USA tracked security shifts in shared spreadsheets; Kaleidoscope Adventures had critical data in Excel on different computers; Rev coordinated research in Google Sheets; Fluor and Brookridge Community Property Owners were on aging Access databases. Should we use AI to build our business app?

Sometimes, yes. AI app builders are real and improving, and they suit teams with a capable self-builder and the time to finish the work: you make the design decisions, build your own reports, dashboards, and roles, and own the result. Core operations still need a designed data model, permissions, testing, and someone accountable when they break, and that’s what we sell: our senior developers run that process for you and hand you a completed, documented application with a team behind it. We use AI in our own engineering to plan builds and move faster. We do not use client data to train AI models, and we use AI tools and settings designed to prevent submitted client data from being used for model training. If AI built you something useful but fragile, the assessment will tell you whether to repair, rebuild, or replace it.
