Two pressures, one underlying need
The first pressure is operational. Finance, grants, enrollment, and administrative systems built years ago, and often maintained by one person, can’t support modern reporting, can’t be audited cleanly, and cost more to keep alive every year. The second is newer and moving faster: AI is already in use across the institution, usually without policy, oversight, or anyone who can answer a board or an accreditor for it.
Underneath both is the same institutional reality. A college is accountable to a board, to funders and donors, to accreditors and regulators, and to students for how its systems and decisions hold up under scrutiny. Whether the project is an ERP replacement, a custom administrative system, or a governance framework for AI, the work has to be documented, secure, maintainable, and able to survive the next person who inherits it.

Higher-education ERP, custom software, and low-code modernization
ERP modernization with Acumatica
For institutions replacing aging financial and operational systems such as Microsoft Dynamics GP and Great Plains, older Sage, and on-premise platforms past end of life, Watkyn is building its Acumatica ERP practice on the discipline behind our public-sector work: rigorous data migration, structured documentation, and cloud architecture. We design Acumatica implementations around the realities of higher-ed finance: fund accounting and restricted funds, grants and sponsored programs, encumbrances, departmental budgets, procurement and approval workflows, audit preparation, and reporting to boards and funders.
Custom software for administrative operations
When no off-the-shelf product fits the mandate, we build and integrate the application to the documentation, security, and change-control standards institutions are held to, and we integrate it with the systems you already run. This includes student and program systems, enrollment and operational tools, research-center and grant/project-management workflows, and compliance and reporting management systems.
Quickbase and Caspio (low-code)
Some institutions already run Quickbase or Caspio applications that need extension, documentation, maintenance, or rescue, or simply need a working application fast without an enterprise timeline. As a Quickbase partner and Caspio Gold Partner, we build, extend, and maintain these under clearly defined scopes, with the same continuity discipline as our larger engagements.
AI governance for colleges and universities
AI is already on your campus. The governance usually isn’t.
Where AI risk is already showing up. Admissions, advising, student conduct, HR, faculty committees, grant administration, advancement, and IT all have plausible AI use cases, and most adopt tools before the institution has a policy, an approval process, vendor review, data rules, or an audit trail. The exposure is concrete: student data pasted into consumer AI tools (possible FERPA exposure), faculty and staff using ungoverned applications, departmental AI subscriptions no one is tracking centrally, and no clear answer when a board or an accreditor asks what the institution’s position on AI actually is.
Governance isn’t a brake on this; it’s what lets an institution adopt AI with confidence instead of exposure. We address it two ways.

For institutions that want their own generative-AI capability, Amplify stands up a secure, vendor-independent, institution-controlled GenAI platform you own and can see into, rather than another subscription you can’t govern. We build this practice on delivered AI work: production AI assistants running on AWS for a national nonprofit, drawing only on approved sources, on a controlled set of models, with a person in the review loop. An AI governance platform
Watkyn is developing a software platform for higher education that turns AI policy into operational practice. The planned platform will supply tailorable, framework-anchored AI policy templates (ISO 42001, NIST AI RMF) and manage the governance workflow related to documentation, reviews, approvals, committee process, and training, so governance is something the institution actually runs. Until it’s ready to demonstrate, we welcome conversations with institutions about the governance model, policy structure, approval process, and implementation plan they’ll need.
Our approach
Many governance engagements stop at policy, and many AI tools simply add another system to manage. We’re building toward operationalized governance instead, including policy templates, review and approval workflows, documentation, and training. We offer institution-controlled GenAI infrastructure through Amplify implementation, all right-sized for midsize institutions and the resource constraints they actually work under.

Direct higher-ed administrative experience
Matt Parks, Watkyn’s president, holds a Ph.D. in political science from Boston University and served as Chief Academic Officer and Interim Provost, as well as professor of politics, at The King’s College in New York, NY, giving Watkyn direct experience with the governance, accreditation, budgeting, and administrative realities colleges face. We treat your constraints as the starting conditions of the work, not surprises to discover mid-project.
Documented institutional delivery discipline
A repeatable, documented six-phase process (discovery, architecture, development, testing, deployment, and support) produces the specifications, change control, and records institutions and their auditors expect.
Technical implementation depth
Real implementation experience across ERP, custom software, integration, and low-code platforms, with a team structured so no project depends on one person, which is the most common failure mode in institutional software, where the one developer who understood the system leaves and takes it with them.

Yes. For finance, grants, and reporting projects, our ERP and custom-software work is designed around fund accounting, sponsored programs, restricted funds, encumbrances, departmental budgets, procurement approvals, and the reporting institutions answer for. Our president also spent years in academic administration, so this is familiar ground.
We address data handling during discovery and design around least-privilege access, role-based permissions, secure integrations, documentation, and client-specific contractual requirements. Where FERPA, health data, or other regulated information may be involved, we scope the work around the governing agreement, the institution’s policies, and the data-handling requirements identified during discovery. Our Saint Louis University health-compliance work was delivered under signed HIPAA Business Associate Agreements, and we require BAAs of subcontractors on those engagements.
