The system you run on was right for the organization you used to be.

Local governments, growing companies, colleges, and nonprofits run their finances and operations on platforms that are often decades old: Microsoft Dynamics GP (Great Plains), older Sage or Dynamics versions, QuickBooks pushed far past its limits, and on-premise databases with vendor support running out. Reporting takes days. Maintenance is expensive. Nothing travels to a browser. And every passing year adds compliance and continuity risk. Replacing the system is a question of when, and with whom.

The replacement is where the real risk lives. ERP implementations rarely fail on the software. They fail when the partner does not understand how the organization operates, has no disciplined methodology, or treats data migration as an afterthought. Half-finished projects, blown budgets, and systems nobody adopts are common enough that the fear is rational. The platform matters. The partner and the method matter more.

Why we implement on Acumatica

We chose Acumatica deliberately, because it fits the organizations we serve. A few reasons it earns that:

Consumption-based licensing with unlimited users. Cost is based on the resources your transaction volume consumes rather than a per-seat count, so a 200-person agency is not paying for every person who needs to see their own data.

Accessible from any browser, with no on-premise servers to maintain and no remote-desktop workarounds.

Deep customization, workflow, and integration without locking you into one vendor’s roadmap.

Financial management, distribution, project accounting, CRM, and more, adopted as you need them.

With the NonProfitPlus add-on, Acumatica can support fund accounting, grant management, restricted-fund tracking, and encumbrance processing, all capabilities that matter for government, higher-education, and nonprofit finance.

A large marketplace of pre-built connectors, plus an open API for the connections that are not off-the-shelf.

Acumatica’s AI Studio lets you define governed, reviewable AI actions on top of the ERP, assistive by design, with a person accountable for the result.

Acumatica has no internal services team competing with the firm that implements your system, so your implementer’s incentives stay aligned with yours.

Right-sized on purpose

The largest ERP firms (Tyler, Oracle, SAP) are built for the largest organizations, with the timelines and budgets to match. Acumatica gives mid-market organizations and public institutions a modern, cloud-native platform without that weight, and without per-seat licensing or lock-in on user counts. For a smaller city, a special district, a college, a trade school, a nonprofit, or a growing company replacing an end-of-life system, that is usually the right size of solution. We implement it for the right size of organization.

Built for the organizations that answer for how their systems run

The common thread is accountability. Each of these organizations answers to someone for its numbers: a council, a board, a funder, an auditor, an owner, the public. A cloud ERP implemented with documentation and discipline serves all of them.

Local government

Cities, towns, special districts, authorities, and agencies running aging on-premise financials with manual workarounds bolted on. Public budgets, annual audits, encumbrance control, and grant tracking, on a platform that does not require a server in a back room.

Growing mid-market companies

Businesses that have outgrown Great Plains, Sage, or QuickBooks and want financials, inventory, purchasing, and operations in one system, with a partner that documents the work and stays accountable for it.

Colleges, universities, and trade schools

Small and midsize institutions, including community colleges and career and technical schools, modernizing financial and operational systems and handling fund accounting, grants, encumbrances, and endowment tracking under FERPA and accreditation pressure.

Nonprofits and associations

Mission-driven organizations that need dependable fund and grant accounting, restricted-fund tracking, and program and donor reporting, without overloading a lean team.

Why local governments look at Acumatica

Built for how a public finance office operates

If you run finance at a city, town, district, or authority, the pressure is constant and specific. Your budget is public. Your books face an annual audit. You control encumbrances, track grants across fiscal years, report to funders, and produce numbers your council or board will scrutinize in an open meeting. You do it on an aging Great Plains, Sage, or QuickBooks setup, with critical data scattered across spreadsheets and a team that has no deep IT bench to lean on.

Acumatica fits that reality. Consumption-based pricing lets everyone who needs the numbers see them, with no per-seat penalty. With NonProfitPlus, you get fund accounting, encumbrance control, and grant tracking. Cloud-native access removes the back-room server. And because we implement with documentation and training built in, the system does not end up living inside one person’s head, the failure that has stranded so many small public entities after a key employee left. We size the implementation for an organization that is not a megacounty, and we deliver it under the same documentation and change-control discipline our government contracts already require.

For growing companies leaving Great Plains, Sage, or QuickBooks

Built for growing companies leaving Great Plains, Sage, or QuickBooks behind

If you are a CFO, COO, or owner, you can feel the system straining. Inventory lives in spreadsheets. QuickBooks is doing work it was never meant to do. Great Plains or Sage is aging and getting harder to support. A month-end report takes days, and you still cannot get a reliable real-time view of margin, stock, purchasing, or project cost when you need it. And the thought of a full ERP project raises a fair worry: that it will be too expensive, too long, and too disruptive to the business that has to keep running while you do it.

That worry is exactly what our method is built to remove. We scope a defined implementation, stage the data migration so the business keeps operating, and put financials, inventory, purchasing, reporting, approvals, and operations into one system you own. Acumatica’s consumption-based pricing means growth does not trigger a licensing penalty every time you add people. You get a modern platform sized for a growing company, implemented by a firm that documents the work so it does not depend on any one person.

Is Acumatica the right answer for you?

We would rather point you to the right fit than sell you more system than you need.

Acumatica is likely right

when you need financials, purchasing, inventory, reporting, approvals, and operations working together in one system, and when several people across the organization depend on that system every day.

A lighter system may serve you better

when the real need is a single operational workflow, a spreadsheet replacement, or one department’s app. In that case a Quickbase or Caspio application gives you a properly engineered system faster and at lower cost, and you can always grow into an ERP later. We build both, so the recommendation you get is based on your situation, not on the one thing we happen to sell.

If that sounds closer, start with Quickbase development or outgrowing spreadsheets.

A new Acumatica practice, built on work we have done

We will be straight about where we are. Our Acumatica practice is new. The capabilities an Acumatica implementation demands are not: full-lifecycle ERP replacement, migration off legacy Microsoft financial systems, government-grade delivery, cloud architecture, and rigorous data migration. Here is the foundation.

Mini case study

Nexira

A complete operational ERP for Nexira USA, replacing Great Plains

Nexira USA is the U.S. subsidiary of a family-owned French company that is a global leader in acacia gum and natural plant-based ingredients, supplying the food and beverage, health and nutrition, and cosmetics and personal-care industries. We replaced their Microsoft Dynamics GP (Great Plains) system with a custom operational ERP built on Quickbase, and moved bookkeeping and financial accounting to QuickBooks Online, integrated back into the ERP, so roughly 30 users across the business worked from one connected system.

The ERP runs the operation end to end. It manages products with lot-level tracking, where traceability matters for food safety and quality, and the multi-year, multi-ton supply contracts the business is built on, through the full order-to-invoice cycle. It tracks inventory by lot across warehouses and on consignment at customer sites, and calculates cost of goods sold on a FIFO basis. Every quantity is carried in both pounds and kilograms, and every price and cost in U.S. dollars and euros at daily spot rates. It tracks containerized shipments crossing the Atlantic from France against customer requirements, gives a forward, week-by-week view of what is on order, planned to arrive, and reserved for customers months ahead, and generates the operation’s paperwork as polished PDFs, from order confirmations and warehouse work orders to purchase orders and customer invoices.

Why it matters here:

An ERP project succeeds or fails on operational mapping, data migration, financial-system boundaries, integration, user adoption, and support. Nexira is where we did that work, on a complete legacy ERP replacement, before our Acumatica practice began. It also reflects the judgment a sound implementation takes: we modeled a real distribution operation with lot traceability, dual-currency and dual-unit costing, consignment inventory, FIFO COGS, and transatlantic container planning, kept financial accounting in a dedicated system, and integrated the two cleanly. That is the same operational complexity Acumatica’s distribution and inventory capabilities are built to handle.

Government system consolidation, under contract

For the Colorado Office of the Alternate Defense Counsel, we consolidated four legacy government systems into a single cloud platform on AWS, migrating more than 300,000 documents, building role-based access control, designing a relational database to unify siloed data, and delivering under a formal government contract with structured documentation and change control.

The cloud stack we customize and integrate on

For the Central California Rural Regional Energy Network (CCR REN), we built a custom CRM on AWS serverless architecture (PostgreSQL, a React frontend, API Gateway and Lambda, Cognito authentication, SES email) with automated compliance reporting. That is the same cloud stack we use for Acumatica customization, integration, and private-cloud deployment.

We are now applying that delivery discipline to Acumatica Cloud ERP, focused on local government, mid-market companies, colleges, and nonprofits that need careful migration, clear documentation, and long-term support. As we complete Acumatica engagements, their case studies appear here first.

How an Acumatica implementation goes

Every implementation involves real decisions about hosting, integration, customization, and data. Here is our standard approach, and where it bends for organizations with specific requirements.

Hosting

Acumatica SaaS (Acumatica-hosted cloud) for most clients. Private-cloud deployment on AWS for organizations with specific data-residency or security requirements, on the same AWS architecture we deliver custom government systems on.

Integration

Acumatica’s open API and Integration Framework connect the systems you keep: payroll, HR, banking, document management, and third-party applications. Custom API development covers the connections standard connectors miss. (Connecting an operational ERP to a separate accounting system is the integration we built for Nexira.)

Customization

Acumatica’s xRP platform handles screen customization, workflow automation, and custom business logic, plus dashboards and reporting in Acumatica’s native tools. Customization built this way survives upgrades.

Data architecture and migration

Structured extraction from legacy systems (Great Plains, Dynamics, Sage, QuickBooks, on-premise databases), cleansing and validation, and a staged migration with parallel-run verification. For complex environments we phase the transition to manage risk.

Data migration, in detail

Data migration is where ERP implementations most often fail, and where our existing experience transfers most directly. Our method:

1

Source-system audit

Inventory every data store, assess quality, identify dependencies, document types and volumes.

2

Mapping and transformation rules

Define how legacy fields map to Acumatica entities, and document the logic for anything that has to be restructured.

3

Cleansing and validation

Resolve duplicates, missing values, format inconsistencies, and orphaned records before migration.

4

Staged migration

Migrate by domain, master data first, then transactional. Verify each stage before the next.

5

Parallel run

Operate both systems for a defined period and confirm Acumatica produces equivalent outputs from migrated data.

6

Cutover

Final migration, legacy decommission, post-migration validation.

We have migrated data from Microsoft Dynamics GP, custom databases, flat files, and legacy government systems. The method is documented and repeatable.

What a disciplined implementation prevents

Choosing an ERP partner is an exercise in evaluating risk. Here is the risk each part of our process is built to remove.

Requirements nobody pinned down

A documented requirements set you sign off before any configuration begins, so scope is agreed in writing.

A migration that loses or corrupts data

Data inventoried, cleansed, staged, and validated against the source through a parallel run before anyone relies on it.

Scope creep that blows the budget

Each phase has a decision point and change control; changes are re-quoted openly.

A go-live the staff never adopt

Full documentation is built into deployment, with train-the-trainer sessions where that model fits the organization.

Fund-accounting and compliance gaps

Financial configuration (chart of accounts, fiscal calendars, fund and grant structures, encumbrances, approvals, reporting) is designed and validated against real data before cutover.

A system that depends on one person or one vendor

Everything is documented so your staff, an auditor, or a future partner can run it.

One delivery discipline, applied to your ERP

An Acumatica implementation runs through the same six phases we use on every engagement, with extra weight on the parts that sink ERP projects: financial configuration, approvals and permissions, integrations, data cleansing, and parallel-run reconciliation before cutover. An ERP succeeds when people across the organization use it every day. That is the standard we implement to, and the reason training, documentation, and support after go-live are built into the phases rather than added at the end.

1

Discovery & Requirements

Interview the people who depend on the system, audit the environment, inventory the data, produce signed-off requirements.

2

Design & Architecture

Financial configuration, chart of accounts and fiscal calendars, workflow, permissions, integration design, migration plan.

3

Development & Integration

Build customizations and integrations, prepare and stage the migration, in visible weekly increments.

4

Testing & Validation

System and user-acceptance testing, plus staged migration and parallel-run reconciliation against real financial data.

5

Deployment & Training

A phased, checkpointed go-live with the full documentation set, and train-the-trainer sessions where that model fits the organization.

6

Ongoing Support & Optimization

Ticketed support with defined response times, quarterly reviews, enhancements as needs change.

Coming off an end-of-life system?

Most organizations we talk to know they have to leave their current platform. They are just unsure what comes next, or how to get there without disruption. The paths we see most often:

Microsoft Dynamics GP / Great Plains

The most common one, and the migration we have the most direct experience with. Consumption-based cloud pricing on Acumatica can meaningfully lower total cost of ownership against a legacy on-premise Microsoft platform.

Older Microsoft Dynamics versions

On-premise or stranded on an aging release, with support and upgrade paths narrowing.

Sage

Older Sage installations that no longer fit how the organization reports or scales.

QuickBooks past its limits

When QuickBooks is doing an ERP’s job through spreadsheets and manual workarounds, and the seams are showing. Acumatica also integrates cleanly with QuickBooks where a phased financial transition makes sense; we have architected that kind of operational-ERP-plus-accounting split.

On-premise and custom legacy systems

Homegrown databases and aging line-of-business apps with no clear vendor support and no one left who fully understands them.

Start with an ERP Readiness Review.

Start with a 30-minute fit call. If Acumatica and Watkyn look like a possible fit, the next step is a structured ERP Readiness Review: a paid diagnostic that tells you, in writing, where you stand and what a sound implementation would involve. If you go on to implement with us, the fee is credited toward the project.

What you receive:

A current-system inventory

A data-migration risk assessment

An integration inventory (what the new ERP must connect to)

A readiness assessment with a clear score

A platform-fit recommendation

A recommended implementation path and sequence

What it covers:

Your current system, data, and users

Pain points and workarounds

Integrations (payroll, HR, banking, document management, CRM)

Compliance needs (fund accounting, grants, encumbrances, reporting)

Timeline and internal team

And whether you have selected a platform or are still evaluating

AI works best on top of a sound ERP.

The right place for AI is inside a properly designed system, where the data model, permissions, and business rules are sound and someone is accountable for the result. Acumatica’s AI Studio fits that approach, and so do we: we build the operational foundation first, then layer AI on as an assistant. We hold this view because we also run an AI governance practice for institutions that have to answer for how their systems behave.

Common questions about Acumatica implementation

What is Acumatica?
Is Acumatica right for a smaller organization?

Sometimes. Acumatica fits when you need financials, purchasing, inventory, reporting, approvals, and operations working together for several users. If your real need is a single workflow or a spreadsheet replacement, a lighter Quickbase or Caspio application is often the better and faster choice, and you can grow into an ERP later. We build both and will tell you which path fits.

How long does an implementation take?

It depends on scope and complexity. Most mid-market implementations run a few months to roughly a year. The variables are the number of modules, the integrations, and above all the state of your data. We give you a realistic timeline after discovery.

What does it cost?

Total cost combines Acumatica’s consumption-based subscription with implementation services. Because pricing is based on resource consumption rather than per-seat licensing, organizations with many users often find it more economical than legacy platforms. We scope implementation to a defined plan after a readiness review.

How does Acumatica’s pricing work, consumption-based versus per-seat?

You pay for the computing resources your transaction volume consumes, not for each named user. You can give everyone who needs the system access to it without a per-seat penalty for headcount, which is a real difference for agencies and institutions with many occasional users.

Can Acumatica handle fund accounting and grant management?

Yes. With the NonProfitPlus add-on, Acumatica supports fund accounting, grant management, restricted-fund tracking, and encumbrance processing, which is why it fits government, higher-education, and nonprofit finance. We confirm the specific fit for your reporting obligations during discovery.

Do you work with colleges, trade schools, and nonprofits?

Yes. Our target markets for Acumatica include small and midsize colleges, universities, and career and technical schools, along with nonprofits and associations. The fund-accounting, grant, restricted-fund, and reporting capabilities these organizations depend on are a core reason we implement on Acumatica.

What about migrating data from our legacy system?

Data migration is the highest-risk part of any ERP project, so we treat it as its own discipline: audit, mapping, cleansing, staged migration by domain, and a parallel run that confirms the new system matches the old on real data before cutover. We have migrated off Microsoft Dynamics GP, custom databases, and legacy government systems.

Do we own the system?

The system and your data are yours, and the open xRP platform means your customizations and integrations are not locked to a single vendor’s roadmap. We document everything so your team or a future partner can run and extend it.

What ongoing support is available after go-live?

Support is ticket-based with defined response times, plus quarterly system reviews and enhancements as your needs change. Support continues after go-live, which is the answer to the single-person dependency that strands so many systems.

How does Acumatica compare to Microsoft Dynamics 365?

Both are capable cloud ERPs. Acumatica’s consumption-based, unlimited-user pricing and open customization tend to suit mid-market organizations and public institutions that want full access without per-seat licensing or heavy lock-in. The right answer depends on your size, modules, and integrations, and we will give you an honest read for your situation.

Has Watkyn done Acumatica implementations before?

We will be straight with you. Our Acumatica practice is new. The work an Acumatica implementation demands is not new to us: we built a complete operational ERP that replaced Microsoft Dynamics GP for Nexira USA, consolidated four legacy government systems on AWS for the Colorado OADC, and have delivered software under formal government contracts with structured documentation and data migration for years. That proven delivery discipline is the foundation of our Acumatica practice, and we publish Acumatica-specific case studies here as engagements complete.
