Money and obligations arrive with strings. A grant carries objectives and reporting. A restricted gift can only be spent one way. Members, referrals, and contracts have to be tracked and honored. Rescuing and rebuilding a compliance system under deadline pressure
From 2018 through 2020, Watkyn rebuilt the compliance-tracking system that Capital Impact’s legal and compliance team relied on to meet reporting obligations to regulators, funders, and counterparties. Their existing Quickbase application had become unreliable, generating incorrect due dates and failing to create the recurring tasks compliance depends on, just as a major reporting window approached. We stabilized it, then re-engineered it into a system the team could trust.
What we delivered:
A redesigned data model connecting reporting entities, compliance plans, requirements, tasks, and owners, with corrected date logic, recurrence rules, and dependency chains
Automated task generation that read each compliance plan and created tasks on the right schedule, monthly, quarterly, annual, or ad hoc, adjusting due dates as the rules required
A lead-change and notification process, so the right people were alerted and no obligation fell through a gap when responsibilities changed
Structured compliance reporting by entity, reporting body, period, and status, with subscriptions that pushed the right view to the right person
Complete, role-based user documentation, separate guides for compliance users, compliance managers, and business-unit staff, so the system didn’t depend on the person who built it
Why it matters:

It won’t depend on one person. Documentation and training come with the build. Capital Impact Partners received a full set of role-based user guides; the American Association of Nurse Practitioners got the knowledge transfer to extend the system themselves. The lightest reliable system. We scope to a defined plan and recommend the smallest thing that does the job, often Quickbase rather than a full ERP, and we tell you when you don’t need more. You adopt something you can afford and sustain.
You own it. The system and your data are yours, documented so your team or a future partner can run and extend it. As the organization grows, the work extends rather than being rebuilt, the way the national nonprofit partnership described above has grown year over year.
Our measure of success is daily use. Software only helps a mission if people actually use it. We don’t treat launch as the finish line: delivery includes documentation, training, adoption support, and follow-up, so the system earns its place in your team’s everyday work. Questions nonprofit and association leaders ask
Usually not, at least not first. Many nonprofit and association problems are solved better and faster with a focused Quickbase or Caspio application, a custom build, or a clean data-and-dashboard layer. We recommend the lightest reliable system for the job and grow you into an ERP only when you actually need one. We build both and will tell you which fits.
