What we build
Most of what businesses run on Quickbase takes a few familiar shapes. Find yours:
Spreadsheet replacement
A real application built around the workflow your spreadsheets were straining to hold.
Workflow & approval apps
Intake, routing, sign-offs, and handoffs that used to live in email, spreadsheets, or team chats.
Job & project tracking
Jobs, tasks, stages, and status across a team, in one place everyone can see.
Field operations apps
Mobile-friendly apps for crews, inspections, service calls, and site data.
Custom CRM
Contacts, pipeline, follow-up, and account activity built around your actual sales process, without enterprise CRM overhead.
Compliance & records tracking
Certifications, audits, incidents, and deadlines with a real audit trail.
Inventory & fulfillment
Stock, orders, and fulfillment tracked accurately instead of in a fragile workbook.
Reporting dashboards
The numbers your team needs to run the business, built on data you can trust.
In-house builder reinforcement
Advanced architecture, integrations, reporting, and next-phase development alongside the person who already knows your business.
Rescuing a stalled or inherited app
Quickbase App Rescue → moving off spreadsheets ·
Outgrowing Spreadsheets → integrations · ongoing maintenance, enhancement, and training.
Is Quickbase the right platform for you?
We’ll tell you plainly rather than sell you the wrong thing.
Quickbase is usually a strong fit when you need:
An internal operational app
Complex workflows with rules, stages, and approvals
Many staff touching the same process
On-the-fly report building
Real permissions and reporting
Deployment measured in weeks when scope is well defined
Far less cost and risk than enterprise software for the same job
Something else may fit better when:
The app is public- or customer-facing or needs many external users, where Caspio is often the better tool and we build on it too · you need full financials, purchasing, inventory, and accounting as one system, which is ERP territory, and we can point you the right way · the need is a one-off task a spreadsheet still handles fine.
We build on Quickbase, Caspio, and modern custom stacks, so our recommendation isn’t shaped by the one thing we happen to sell. If none of these is a good fit, we’ll tell you so.
Best fit:
small and midsize organizations that need a real operational app, not a giant transformation program.
Not the best fit:
One-off formula fixes, bargain task work, or wanting an app generated without proper design.
You’ll know what it costs before we start.
Most software buyers don’t find out what a project really costs until the work is already underway. We work the other way around: a short, fixed-fee assessment first, then a fixed price and a committed date for the build, agreed before anyone starts.
Step 1
The Quickbase App Assessment (fixed fee)
We get clear on the work, the workflow, users, data, integrations, and what you’re replacing, then come back with a plan and a price.
You receive a short written plan:
recommended structure, core tables, major workflows, integration assumptions, launch sequence, and a fixed build price.
The plan is yours to keep either way.
Step 2
Fixed-price execution
The application is quoted as a defined scope, a fixed price, and a committed delivery window, all agreed before anyone starts.
You know the number and the date going in. The delivery window is part of the quote, not an open-ended promise.
Where integrations fit
Integrations and bespoke add-ons are scoped and estimated separately, because their scope depends on software we don’t control: your other systems, their APIs, their quirks. We make those assumptions explicit in the plan and keep them clearly separate from the fixed-price build.
What “fixed price” means
Not unlimited changes. It means the build is defined clearly enough that we can commit to a price and a date. Change the scope mid-build and we re-quote the change openly, instead of letting it inflate the bill.
We’re priced for small and midsize organizations, not enterprise transformation budgets.

Quickbase makes it easy to build something quickly. It does not make it easy to build something that holds up. The difference is almost always architecture: invisible until it fails.
Where projects go wrong
How our process controls it
Sprawling tables nobody designed
A deliberate relational data model, so the app stays coherent as it grows.
Everyone can see and change everything
Role-based permissions, so the right people have the right access.
Reports nobody fully trusts
Reporting tied to clean source data, so the numbers are the numbers.
Workflows half-automated and easy to break
Clear rules and handoffs, so the process runs the same way every time.
An app only one person understands
Documentation and handoff, so the business never lives inside one head.
An app that can’t grow
Architecture planned for the next phase, so you build on it, not around it.
How to choose a Quickbase partner
There are several ways to get Quickbase work done, built for different jobs. The honest version, so you can place yourself:
Quickbase’s own professional services suit enterprise-scale platform programs and the largest accounts.
Large transformation partners suit big, multi-year change programs with budgets to match.
Low-cost developers can be fine for an isolated, well-defined task.
AI app generators can sketch something fast, then leave you maintaining a system with no one accountable for it.
Watkyn focuses on defined Quickbase builds: clear scope, fixed build price, senior oversight, real documentation, and ongoing maintenance. That is the lane we are built for.
Your Quickbase work should not depend on one person.
So many Quickbase apps stall for one reason: too much depends on a single builder, whether that person has moved on or is simply carrying more than one person should have to carry. A solo freelancer reintroduces exactly that risk. We’re built the opposite way: a real firm with a full team, a documented six-phase methodology, and senior developers who stay close to the work. Everything we build is documented well enough that your business never lives inside one person’s head, ours or yours.
Already have a Quickbase builder? We make your team stronger.
Good Quickbase apps often grow until they need more architecture, integration work, reporting discipline, and development time than one in-house builder can reasonably provide. We can take on the advanced work, document the system, and mentor your builder as we go. The vision stays yours. If the existing app has become too complex to maintain safely, start with Quickbase App Rescue.
Low-cost Quickbase work can be fine for straightforward isolated tasks. It becomes expensive when the data model is wrong, permissions are loose, formulas are brittle, and nobody documents why the app works the way it does. We compete on the lowest-risk path to a system your business can rely on, rather than the lowest rate.

Phillip was so knowledgeable. He was able to make suggestions and ask questions about use cases that prevented me from making mistakes from the beginning. On top of that, he was really fast and able to explain what he was doing and teach me at the same time, which made the entire experience really rewarding.

AI helps most in expert hands.
Generated apps can be useful starting points. They become risky when no one understands the data model, permissions, rules, and workflows underneath, and no one is accountable when they break. We use AI in our own engineering: our senior developers work with it to plan builds, pressure-test data models, and move faster. The judgment and the accountability stay human. An expert designs, reviews, and stands behind every system we deliver. We hold this view because we also run an AI governance practice for institutions that must answer for how their systems behave, and we bring the same conviction to a small Quickbase build.

Common questions about working with us on Quickbase
The build is quoted as a defined scope, a fixed price, and a committed delivery window, agreed before we start. You know the number and the date going in, and the timeline is part of the quote. Integrations and custom add-ons are scoped and estimated separately, because their scope depends on software we don’t control. We keep the two clearly separate.
It depends on scope: the tables, workflows, integrations, and reporting your application needs. That’s why every engagement starts with a fixed-fee Quickbase App Assessment that produces a short written plan with a fixed build price and a committed delivery window, so you know the number and the date before committing to a build. We’re priced for small and midsize organizations, not enterprise transformation budgets.
Quickbase’s team can be appropriate for large, enterprise-scale platform programs. Watkyn is a specialist partner built for defined, hands-on builds, rescues, maintenance, and integrations for small and midsize organizations that want a fixed scope, senior oversight, and a clear path, without an enterprise services engagement.
Yes. We often work alongside internal builders. We can handle advanced architecture, integrations, reporting, documentation, or the next phase of development while mentoring your team as we go. The goal is to strengthen the system and the people who know it, not erase the work already done. If the existing app has become hard to maintain safely, start with Quickbase App Rescue.
For an isolated, well-defined task, a low-cost developer may be fine. But most Quickbase problems are architecture, documentation, and continuity problems. This is where cheap work up front gets expensive later. We give you a team, a documented methodology, and ongoing support, so the app holds up and adapts and grows with you.
Yes. Quickbase is usually strong for internal operational apps. Caspio can be the better fit for public- or customer-facing database apps. An ERP may be right when you need full financials, purchasing, inventory, and accounting as one system. We build across these, so our recommendation isn’t shaped by a single product. We’ll give you objective advice, even when the right answer is Caspio, an ERP, a simpler tool, or no new system at all. That isn’t theoretical: for AgroSource we mapped the data model and requirements, then advised that an ERP, which we didn’t sell, was the right fit. They left us a five-star review anyway.
Named Quickbase work includes a workforce position-funding and budgeting system for Hilton Worldwide Holdings, an enterprise risk-management application for Johnson & Johnson’s DePuy Synthes converted from a massive multi-worksheet workbook, a quality-control and warranty-service application for Skydio, an operational ERP-light system for Nexira replacing a legacy Great Plains system, trip operations and a customer trip portal for Group Travel Odyssey, an end-to-end job system for Promotion Plus Sign Co., and route and unload operations for Green Zone Recycling. For the full industry tour, see how we serve small and midsize businesses.
Yes. We assess what you have, stabilize and document it, and take over ongoing development and maintenance, so the apps keep evolving instead of freezing. See Quickbase App Rescue.
Yes. We handle Quickbase integrations, data cleanup and migration, reporting dashboards, permissions, workflow rules, and documentation. Where an integration depends on another system’s API or data quality, we identify those assumptions during the Quickbase App Assessment and keep them clearly separate from the fixed-price build scope.
Yes. After a build or a rescue we become your durable maintainer, providing ongoing Quickbase support on a ticket basis under your support agreement, plus enhancements as the business changes.
Sometimes, yes. Quickbase’s AI tools are real and improving, and they suit teams with a capable self-builder and the time to finish the work. They are assistants for people building their own app: you conduct the requirements interview, make the data-model decisions, build your own reports, dashboards, and roles, and own the result. What we sell is different. Our senior developers run that process for you, make the design decisions with you, build everything the self-serve path leaves to you, and hand you a completed, documented application with a team accountable for it. If the self-build path genuinely fits your team, the Quickbase App Assessment will tell you so.
Yes, openly. Our senior developers use AI to plan builds, think through data models, and accelerate delivery, and that speed is part of what lets us offer a fixed price and a committed delivery window. The judgment and the accountability stay human: an expert designs, reviews, and stands behind every system we deliver. We do not use client data to train AI models, and we use AI tools and settings designed to prevent submitted client data from being used for model training.
Always. The app and the data are yours. We document everything so you, or any future partner, can run the system without depending on us.
Yes. Watkyn is a Quickbase partner and has built on the platform across government, higher education, nonprofit, and commercial clients, including Hilton Worldwide Holdings, Johnson & Johnson’s DePuy Synthes, and Skydio, since 2015. We’re a U.S. firm and work remotely with clients across the United States and internationally.
